Logging In to Proptia

Audience: Security personnel and gatehouse staff who access Proptia from a kiosk or web browser.

Goal: Sign in quickly and reach the tools you need to manage hosts, visitors, and properties.

1. Before You Begin

  • Your username is the email address provided to the community administrator.

  • Your temporary password is delivered by email when your account is created.

  • If you haven’t received credentials, contact your community administrator or Proptia dealer.

2. Sign‑In Steps

Step Action
1 Browse to protal.proptia.com.
2 Enter Username (email) and Password, then click Log In.
3 A pop‑up lists each Guardhouse Location in the community. Select the location where you’re working today.
4 You’re taken directly to the Dashboard.

Tip: Click Forgot Password? on the login screen to reset your password at any time.

3. Explore the Dashboard Toolbar (top‑right)

  • Light / Dark Mode – Toggle the interface theme.

  • Submit Ticket – Open a support ticket that is automatically emailed to both Proptia Support and your dealer.

  • Help Icon – Watch short training videos and access the online knowledge base.

  • Profile Menu – Update your password, profile photo, or log out.

4. Primary Directories (left navigation)

  1. Host Directory – List of approved residents, owners, or tenants.

  2. Visitor Directory – Records of guests, vendors, and deliveries.

  3. Property Directory – All properties/units linked to your community.

Each directory provides quick filters and actions so you can add, edit, or look up records in seconds.

5. Best Practices

  • Save credentials securely. Avoid sharing accounts—each guard should use their own login.

  • Select the correct guardhouse. This ensures visitor records show the right entry point.

  • Submit tickets early. Logging technical issues promptly speeds up resolution.

  • Review training videos. They cover everyday tasks (visitor pass creation, access level changes, etc.) and new features.
