How to Configure Call Priorities for Residents

The Call Priorities feature is designed to eliminate guesswork at the gate and reduce wait times for visitors. Instead of an attendant hesitating over whether to call a cell phone, landline, or work number, this feature creates a clear, ordered list of contacts so your team knows exactly who to dial first.

This tool allows Property Management to set up a specific chain of command for calls, ensuring a smoother experience for guests and residents alike.

Step-by-Step Setup Guide

Follow these steps to configure Call Priorities for a specific resident:

  1. Select the Resident: Navigate to the specific resident profile you wish to update.

  2. Navigate to Access Settings: Click on the Access tab located at the top of the profile. This tab acts as the command center for that resident's visitor management.

  3. Locate Visitor Access: Scroll to the "Visitor Access" section within the Access tab.

  4. Enter Edit Mode: Click the purple "Edit" button on the right side of the screen. This will unlock the fields and display four dropdown menus labeled "Property Call Priority 1 through 4".

  5. Select Phone Numbers: You do not need to manually type in phone numbers. The system automatically pulls in existing numbers on file for that resident; simply select the correct number from the dropdown menu for each priority slot.

Using Custom Labels

To make the process even more efficient for your gate attendants, you can add Custom Labels to each priority number.

  • How to add them: Locate the field immediately above the phone number labeled "Enter Custom Label."

  • What to write: Type a clear descriptor, such as "Chris's Mobile," "Housekeeper," or "Work Line".

Adding labels ensures the attendant knows exactly who they are calling and why, making the interaction more professional and efficient.

What the Gate Attendant Sees

Once configured, the gate attendant will no longer see a jumbled list of numbers. They will see a prioritized list that explicitly instructs them:

  • Priority 1: Call Chris's Mobile.

  • Priority 2: Call the Housekeeper.

This removes 100% of the guesswork, reducing the time visitors spend waiting in line.
