Update: Streamlined Visitor Directory
We have released an update to the Proptia.com visitor directory designed to fix the issue of duplicate entries. Previously, if a visitor had multiple credentials, such as an ePass and a physical pass, the system created separate entries for each, cluttering the directory and making it difficult to manage guests.
With this update, the directory is now cleaner and more efficient to navigate when you log in.
The "One Visitor" Rule
The core of this update is the One Visitor Rule: One visitor equals one record in your directory.
No More Duplicates: Every visitor will show up only once, regardless of whether they have one pass or five passes.
Consolidated View: All passes for a specific person are now consolidated into a single profile entry.
How to Manage Multiple Passes
Since visitors are no longer listed multiple times, we have introduced a new way to view and manage their various credentials within the portal:
Locate the Pass Quantity Column: In the visitor directory, look for the new column labeled Pass Quantity. This number indicates exactly how many active passes are assigned to that visitor.
View the List: Click on the pass quantity number to open a list of all passes associated with that person.
Manage Individual Passes: From this list, you can use the action button next to a specific pass to deactivate it without affecting other active passes.
Critical: Deactivate vs. Delete
It is extremely important to understand the difference between deactivating a pass and deleting a visitor profile, as these actions have very different outcomes.
Note: Deactivating a pass is not the same thing as deleting a visitor.
| Action | Where to do it | Outcome |
| Deactivate a Pass | Inside the "All Passes" view (after clicking Pass Quantity). | Removes only one specific credential (e.g., a single QR code). The visitor remains in the system. |
| Delete a Visitor | From the main directory list. | Permanently removes the person and every single pass they hold. |
Summary: Use "Deactivate" for one pass; use "Delete" for the person's entire profile.
