How to Configure "Visitor Quick Add" for Your Community.
The Visitor Quick Add feature acts as an express lane for visitor registration, designed to eliminate the headache of navigating multiple screens and selecting pass types. By configuring this feature, you allow residents to bypass complex choices and register guests in seconds.
The Property Manager's Role: Setting the Rules
For residents to enjoy this seamless experience, Property Management must first lay the groundwork by configuring the system defaults. Since residents will no longer select a specific pass type manually, you must define a default pass for every scenario.
Configuration Steps:
Navigate to Settings: Go to your Settings and locate Visitor Options.
Assign Defaults: You must assign defaults for the 4 main categories. This tells the system how to handle different types of guests, such as friends versus relatives or one-time plumbers versus weekly cleaners.
Save: Once you hit save, the feature is live and ready for residents to use.
Smart Logic: Vendor vs. Guest
The system includes built-in logic to distinguish between personal guests and service providers automatically.
Company Field Detection: If a resident types anything into the "Company" field (e.g., "Amazon" or "Joe's Plumbing"), the system automatically assigns the default vendor pass you configured.
Result: This ensures vendors are tracked correctly without requiring the resident to manually select a "Vendor" pass type.
The Resident Experience
Once you have configured the backend, the experience for the resident changes significantly:
Streamlined Interface: Instead of hunting for the "add" button, the app opens directly to the visitor form.
Simple Form: Residents simply select "Temporary" or "Permanent," enter the name (and company if applicable), and set the duration.
Duration Control: The pass defaults to 1 day, but residents can extend it up to the maximum duration limits you have set as the manager.
Understanding ePass Options
The Quick Add form includes a toggle for issuing ePasses.
Toggle ON: The system generates an ePass and allows the resident to text or email it to the guest.
Toggle OFF: The visitor is added directly to the profile at the gatehouse or front desk without generating a digital pass.
Availability: If your community has disabled ePasses entirely or restricted specific pass types, this toggle will not appear for the resident.
Rollout Strategy: Communicating with Residents
Because this feature is optional for residents, you must communicate how to enable it.
Announce It: Let residents know "Quick Add" is available.
Explain Defaults: Inform them of the rules you set (e.g., "All temporary guests automatically get a 1-day pass").
Instructions: Tell them how to turn it on. They must open the app, tap the Hub button, and toggle Quick Add Visitor to the "ON" position.
