How to View and Manage Visitor Passes
Overview
The visitor list now shows each visitor once, with a total count of their passes. This makes it easier to manage multiple passes without confusion.
Step 1: Open the Visitor Directory
Go to Directories
Click Visitors
Step 2: Understand the Visitor List
Each visitor appears only once
Locate the Pass Quantity column
Review the number shown to see how many passes are assigned
Step 3: View All Passes for a Visitor
Find the visitor in the list
Click the number in the Pass Quantity column
Review all associated passes
View QR codes for each pass (if issued)
Step 4: Identify Visitors Without Passes
Open the visitor’s pass view
Check for a missing QR code
If no QR code is present, no pass has been issued
Step 5: Deactivate an Individual Pass
Click the Pass Quantity number
Locate the specific pass
Click the Action button next to the pass
Select Deactivate
Step 6: Delete a Visitor (Removes All Passes)
Stay in the main visitor list
Find the visitor
Click the Action button
Select Delete
Confirm removal

Why does a visitor only appear once in the list now?
Visitors are now consolidated into a single record. Instead of showing multiple entries for each pass, the system displays one visitor with a total pass count.
What does “Pass Quantity” mean?
Pass Quantity shows how many active passes are assigned to a visitor. This includes both ePasses and physical passes.
How do I see all passes for a visitor?
Go to Directories → Visitors, then click the number in the Pass Quantity column. This opens a view showing all passes and their QR codes.
Why doesn’t my visitor have a QR code?
The visitor was added but no pass was issued. A QR code is only generated after creating an ePass or issuing a physical pass.
How do I generate a QR code for a visitor?
Open the visitor record and issue a pass. Once the pass is created, the QR code will appear automatically.
How do I remove just one pass from a visitor?
Click the Pass Quantity number, find the specific pass, and use the Action button to deactivate that pass.
What happens if I delete a visitor?
Deleting a visitor removes the entire record, including all associated passes.
When should I deactivate a pass instead of deleting a visitor?
Deactivate a pass when you only want to remove access for a single pass but keep the visitor record and other passes intact.
Why did duplicate visitors disappear from my list?
The system was updated to prevent duplicate entries. Multiple passes for the same visitor are now grouped under one record for clarity.
Can a visitor exist without a pass?
Yes. A visitor can be saved in the system without any passes, but they will not have a QR code or access until a pass is issued.
