How to Monitor and Manage SMS Credits



Staying on top of your SMS balance guarantees that notifications reach your community without delay. Running out of credits can halt important updates, disrupting daily operations and potentially impacting safety and satisfaction.

Step 1. Access the SMS Credits Dashboard

  • Navigate to your organization’s dashboard.

  • In the left sidebar, select Organization Settings.

  • Click SMS Credits. This takes you to the central control panel for your community’s text messaging activity.

Step 2. Review Key SMS Metrics

  • At the top of the dashboard, there are four summary tiles: -

    Current SMS Credit: Current number of SMS credits available.

    SMS Sent This Month and Sent Last Month: How many messages have been sent in current and previous month.

    SMS Credit Ordered: Cumulative credits acquired for your community.


Why This Matters: These metrics provide an at-a-glance status so you can proactively address low balances and analyze usage trends.

Step 3. Analyze Historical Usage

  • Click View Previous Records to open a visual graph.

  • Filter the usage data by preset date ranges such as the last 3, 6, 9, or 12 months.

  • Hover your mouse over any data point to see the exact number of texts sent in a specific month.



Why This Matters: Spot seasonal spikes, identify emerging trends, and plan budgets more accurately based on historic SMS traffic.

Step 4. Audit Credit History and Receipts

  • Scroll below the summary to find a detailed credit log.

  • This table tracks every credit addition—monthly subscriptions or one-time purchases.

  • Review the credit amount, purchase order (PO) numbers, and associated PDF receipts.

  • Download receipts by clicking the PDF icon next to each entry.

  • See who performed the transaction and the exact date it was processed.

Step 5. Export Detailed Reports

  • To prepare for meetings or audits, use the Export CSV or Export Excel buttons.

  • Instantly download comprehensive usage and purchase logs for further analysis or presentation.

Step 6. Top Up Your SMS Credits

  • When SMS credits run low, click the purple Add button in the top right corner of the dashboard.

  • Select the desired quota and review current pricing.

  • Upload the purchase order, enter the PO number, and add an optional note.

  • Follow the prompts to submit your request for approval.

Step 7. Adjusting Recurring Subscriptions

  • If your recurring SMS subscription needs an update (increase, decrease, or other changes), contact your dedicated dealer for assistance.

Routinely export your SMS logs and review monthly trends. This ensures you avoid unexpected outages and helps justify budget requests with clear, data-driven insights. Staying vigilant about your SMS balance means your community remains informed, secure, and seamlessly connected.
