The Resident Directory in Proptia allows property managers to view and manage residents, tenants, and non-occupant owners. This guide provides an overview of the features and sections available in the Resident Directory.
Accessing the Resident Directory:
There are two ways to access the Resident Directory:
- From the Dashboard:
- When you first log in to Proptia, the dashboard displays a summary view of residents, including their first name, last name, type (tenant, occupant owner, non-occupant owner), email address, and other optional fields such as move-in date, move-out date, floor, and property.
- From the Directories Menu:
- Click on Directories at the top of the screen and select Residents. This section provides a detailed view of the Resident Directory, including the ability to add new residents.
Key Features of the Resident Directory:
- Add New Residents:
- To add a new resident, click the Add button. This is typically used when you want to input new residents into the system, set move-in dates, or lease start dates.
- Tabs in the Resident Directory:
- Current: Lists all current residents of the organization.
- Pending: Residents added to the system whose lease or move-in date is in the future. They will remain in a pending status until the specified date.
- Shared Residences: Shows data for amenities or access points shared with another organization (e.g., a shared gate between two homeowners’ associations).
- Previous: Displays former residents or tenants who have moved out and are no longer active.
- Registered: Residents who have completed their registration, set up their unique password, and can use the system (e.g., for managing visitor lists or accessing Bluetooth credentials).
- Unregistered: Residents who have not completed the registration process after being invited to the system.
- Missing Emails: Residents whose profiles are missing an email address, preventing them from completing registration.
- Logged in Today: Shows residents who have logged in to the system within the current day.
Customizing Your View:
- You can customize the columns displayed in the Resident Directory by selecting or deselecting columns such as move-in date, move-out date, and flex fields to display only the information that’s relevant to your needs.
